Terms & Conditions
Last updated: 6 May 2026
General
These Terms & Conditions ("Terms") govern your use of the RoleShiftin website and the related services ("Service") operated by the service provider ("we", "us", "our"). By creating an account or using the Service you agree to be bound by these Terms.
RoleShiftin is a job listings search engine with optional, subscription-based application-assistance services. The search and indexing service is offered free of charge and is described in the Source Portal Data section. The application-assistance services (including cover letter generation, CV review, auto-apply where allowed, and related features) are described in the Application Assistance section and are subject to a paid subscription.
You must be at least 18 years old to use this Service. By using the Service you represent that you meet this age requirement.
We reserve the right to modify these Terms at any time. Changes will be posted on this page with an updated revision date. Your continued use of the Service after any changes constitutes acceptance of the new Terms.
We may suspend or terminate your account at our discretion if you violate these Terms or use the Service in a manner that is harmful, fraudulent, or otherwise objectionable.
Source Portal Data — Indexing Service
RoleShiftin offers an indexing and search service for job listings. Some of the indexed listings are derived from third-party services, such as job aggregators or other recruitment portals ("source portals"). The terms in this section apply only to listings sourced from such source portals; they do not apply to listings RoleShiftin obtains through other channels (such as user submissions or partner APIs).
Free, neutral indexing. RoleShiftin does not monetise the indexing service or the access to data from source portals, with respect to which it positions itself as a neutral search engine. The indexing and search service is part of the free plan. RoleShiftin's commercial offering is limited to value-added application-assistance features (such as cover letter generation, CV review, and auto-apply where allowed).
Complementary, not substitutive. RoleShiftin's purpose is not to replace source portals, but to complement them and make them more easily discoverable. We do not divert traffic away from source portals: every indexed listing carries a mandatory link-out to the original source, and RoleShiftin is not the final destination for the application (with the limited exception of auto-apply, described below).
Asynchronous, non pass-through indexing. The indexing service refreshes data periodically rather than in real time, and does not constitute a pass-through search: RoleShiftin's search does not substitute for, nor relies on, the search functionality offered by the source portal. Indexing is not triggered by user queries.
No body retention. RoleShiftin does not store the body of the listing: no copy of the listing's free-text description is retained, in observance of any applicable copyright. RoleShiftin only stores a set of derivative metadata extracted from the listing, including, by way of non-exhaustive example, the role, the company, and the listing URL — fields which are factual and objective. RoleShiftin does not capture data that may constitute the source portal's value-added content, such as proprietary rankings, editorial tags, manually curated classifications, or descriptions authored by the portal itself. RoleShiftin does not collect historical data, only the most recent fraction of listings.
GDPR minimisation. Stored metadata is sanitised of any sensitive or personally identifiable information (PII) in observance of the GDPR, and is retained in minimised form for the sole purpose of providing the search and matching service (legitimate interest under Art. 6(1)(f) GDPR).
Public sources only. RoleShiftin only collects information that is publicly available or made available through agreements with partner organisations. We do not bypass authentication, paywalls, captchas, or anti-bot measures.
No AI training. RoleShiftin does not use any of the indexed data to train AI models.
Respect of opt-out signals. RoleShiftin commits to respecting the directives expressed via robots.txt, via TDM (Text and Data Mining) reservation signals under Art. 4 of Directive (EU) 2019/790, and via the source portal's Terms of Service where present.
Auto-apply scope. The auto-apply feature is available only where permitted by the source portal's robots.txt, TDM directives, and Terms of Service. RoleShiftin does not enable auto-apply on portals that require user credentials. It is the user's responsibility to verify the terms of service that may apply specifically to them on the source portal.
Removal requests. Please contact us if you wish your data to be removed from the indexing service or from the auto-apply scope. We will process such requests within reasonable technical time constraints.
Email Submissions — Indexing via Email
RoleShiftin offers a feature that allows users to forward emails containing job listings to a dedicated inbox, so that the listings they contain can be extracted and added to the user's personal index. The following terms apply to this feature.
Automated processing with LLMs. Forwarded emails are processed by automated systems, including Large Language Model (LLM) based pipelines, in order to identify and extract the job listings they contain. The same sub-processors that operate the rest of the Service may be involved in this processing (see Data Privacy).
Retention. Forwarded emails and their content may be retained within the system for the general purposes of operating, debugging, and improving the Service, as described in the Data Privacy section.
Do not forward sensitive content. Because forwarded emails may be retained and processed by third-party sub-processors, users are strongly advised not to forward emails that contain sensitive, confidential, or otherwise personally identifiable information beyond what is strictly necessary to identify a job listing. RoleShiftin's commitment is limited to analysing the job listings contained in the forwarded emails on behalf of the user; any additional content is processed only as a technical side-effect and should not be relied upon as a confidential channel.
By forwarding an email to RoleShiftin you confirm that you have the right to share its content with us, and you accept these terms.
Application Assistance Services
The application-assistance services are the paid, subscription-based component of the Service. They include features such as job-CV affinity scoring, application tracking, auto-apply (where allowed — see Source Portal Data), application strategy suggestions, and the cover letter generation service described separately below. These features are offered to support the user's job-search process.
No guarantee of outcomes. RoleShiftin does not guarantee that using the Service will result in finding employment, in receiving more interview invitations, in improving the user's response rates, or in any other specific outcome related to the user's job search. The Service provides tools and information; the actual outcomes of any job search depend on a wide range of factors outside our control, including the user's profile, the labour market, and the policies of individual employers and recruiters.
Informational nature, user responsibility. Any output, score, suggestion, ranking, or recommendation produced by the Service is provided for informational purposes only and does not constitute professional career, legal, or employment advice. It is the user's responsibility to interpret the data and outputs we provide, to evaluate their accuracy and relevance, and to adapt them to their specific situation before acting on them. The user remains the sole decision-maker on whether and how to apply to any job listing.
No warranty of accuracy. Indexed listings are derived from third-party sources and may be outdated, incomplete, or inaccurate. Affinity scores and other automated assessments are heuristic in nature. The Service is provided on an "as-is" basis (see Disclaimer of Warranties and Limitation of Liability).
Cover Letters
The cover letters generated by the Service are produced by automated, AI-based pipelines on the basis of the user's CV and the target job listing data, and are provided as drafts for personal use.
The user is responsible for reviewing and editing any generated output before submitting it to an employer or recruiter, including verifying its factual accuracy, tone, and appropriateness for the specific opportunity. RoleShiftin does not guarantee that using a generated cover letter will result in employment, in an interview, or in any other specific outcome.
Cover letters are produced by the same AI sub-processors described in the Data Privacy section. The general disclaimers in the Application Assistance section apply to this feature as well.
Data Privacy
Data we collect
To provide the Service we collect and process the following personal data:
- Your account information, including email address and name.
- The content of your CV, including work experience, skills, education, and any related metadata extracted from it (such as inferred roles, seniority, languages, and skill tags).
- The job listings you submit or that you interact with through the Service, including any text, URLs, or emails you forward to us (see Email Submissions), and metadata derived from them.
- Information about the positions you have applied to and the related application activity (status, timestamps, generated cover letters, notes), used to provide application tracking and strategy suggestions.
- Technical and usage data necessary to operate, secure, and improve the Service.
This data is processed for the overall purpose of delivering the application-assistance Service, which includes indexing and searching job listings, generating cover letters, scoring job-CV affinity, tracking applications, providing strategy suggestions, operating and improving the Service, ensuring quality and security, and offering you related career services.
Legal basis for processing
We process your personal data on the following legal grounds under the EU General Data Protection Regulation (GDPR):
- Contract performance (Art. 6(1)(b)) — processing your CV, job listings, and application data is necessary to deliver the application-assistance Service you signed up for.
- Legitimate interest (Art. 6(1)(f)) — for service improvement, quality monitoring, fraud prevention, and operating the free job-listings indexing service.
- Consent (Art. 6(1)(a)) — for analytics cookies (see Cookie Policy). You may withdraw consent at any time by clearing your browser's local storage for this site.
Recipients and sub-processors
To operate the Service your personal data is shared with the following third-party processors:
- OpenAI, L.L.C. (San Francisco, USA) — AI model provider. Your CV content, job listing data, forwarded emails, and related application data are sent to OpenAI's API for processing (cover letter generation, listing extraction and summarisation, affinity scoring, and other AI-based features).
- LangSmith (LangChain, Inc.) (San Francisco, USA) — pipeline monitoring and quality assurance. Execution traces, which may include CV, job listing, and application content, are sent to LangSmith for debugging and service improvement.
- Stripe, Inc. (San Francisco, USA) — payment processing. Your email address and account identifier are shared with Stripe when you make a purchase.
- Google LLC (Mountain View, USA) — website analytics. Anonymous, aggregated browsing data is collected via Google Analytics (see Cookie Policy).
- Amazon Web Services EMEA SARL (EU — Frankfurt, DE) — cloud infrastructure. Your data is stored and processed on AWS servers located in the European Union.
International data transfers
Some of the processors listed above are located in the United States, which the European Commission has not recognised as providing an adequate level of data protection. Where your data is transferred outside the European Economic Area (EEA), we rely on the EU–US Data Privacy Framework and/or Standard Contractual Clauses (SCCs) adopted by the European Commission to ensure an adequate level of protection for your personal data.
Automated processing
The Service uses automated processing, including AI-based text generation and analysis, to extract job listings from submitted content, generate cover letters, score job-CV affinity, and produce other derived metadata from your CV and applications. This processing does not produce legal effects or similarly significant effects on you. You always retain full control over reviewing, editing, and deciding whether to use any generated content, and you remain the sole decision-maker on whether and how to apply to any job listing.
Data retention
We retain your personal data for as long as your account is active and as needed to provide the Service. If you request deletion of your account and associated data, we will delete it immediately, within reasonable technical time constraints. Anonymised or aggregated data that can no longer be linked to you may be retained for analytical purposes.
Your rights
Under the GDPR you have the following rights with respect to your personal data:
- Access (Art. 15) — request a copy of the personal data we hold about you.
- Rectification (Art. 16) — ask us to correct inaccurate or incomplete data.
- Erasure (Art. 17) — ask us to delete your personal data.
- Restriction of processing (Art. 18) — ask us to limit how we use your data.
- Data portability (Art. 20) — receive your data in a structured, machine-readable format.
- Object (Art. 21) — object to processing based on legitimate interest.
- Withdraw consent (Art. 7(3)) — where processing is based on consent, withdraw it at any time without affecting the lawfulness of prior processing.
You also have the right to lodge a complaint with a supervisory authority in the EU Member State of your habitual residence, place of work, or place of the alleged infringement.
